QUALIFICATION REQUIREMENTS
· Bachelor’s degree in business administration, Engineering, or any related field.
· Has at least three (3) years of relevant work experience document management processing in a Global Business Services especially with process and systems in a shared serviced setting.
· Has experience working in a multicultural environment, experience in shared services environment is an advantage. Technical interest and experience interest with Oil, Gas & Energy industries.
· Knowledgeable in QHSE standards, policies, and procedures, including audit processes and quality assurance.
· Basic understanding of document management processes and ISO standards.
· Proficient in ERP system (Equip, Data Management Library/DOCS), with knowledge of IFS being advantageous.
· Experience managing Company Management System is an advantage.
· Excellent computer skills, proficient in MS Office and Adobe Acrobat Pro
· Strong teamwork and collaboration abilities.
· Proactive and able to make decisions within established guidelines.

QHSE
DUTIES/TASKS
· Manage documents within the Company Management System (CMS), ensuring accuracy and organization.
· Assist in establishing the CMS structure for new units to ensure seamless integration.
· Perform quality control checks and upload new or revised documents to the CMS, while maintaining an organized archive.
· Generate tasks within eDOCS Assist for document approvals within the CMS Web platform.
· Coordinate and participate in continuous improvement initiatives related to CMS and document control processes.
· Retrieve, monitor, and archive emails from the Authority Coordinator mailbox, along with other relevant QHSE documents.
· Support the administration of the Permit To Work system, ensuring proper access for authorized personnel.
· Assists in the administration of QHSE documentation and Rig Inspection Services to maintain compliance.
· Manage and maintain various ERP systems such as IFS, eDOCS, and CMS for efficient data management.
· Oversee user administration in the Synergi system and utilize the Xait Porter document management system effectively.
· Ensure compliance and quality standards are met for all documents within the organization.
· Conduct quality control measures and maintain a comprehensive register/database of all documents and correspondence, including associated metadata.
· Offer support for ad-hoc tasks and projects as requested by stakeholders to facilitate efficient operations.
